Group Study Rooms/ Media Rooms

 

 

Eligible Users: Group Study Rooms & Media Rooms in the AHS Library are for use by:

  • Faculty, staff and students in the Colleges of Medicine, Nursing, Pharmacy and Public Health.
  • Faculty, staff and graduate students in the UA health sciences-related majors.

 

Checking out rooms

Keys to the rooms are checked out at the Information Desk on a first-come, first-served basis. Rooms may not be reserved in advance. Markers and erasers are also available for check out.

Rooms are checked out for a 4-hour period. When there are empty rooms, the 4-hour limit is not enforced.

Individuals may check out keys but groups have priority when the rooms are in heavy use.

Users may leave the Group Study Rooms for breaks of 30 - 60 minutes without surrendering the room. Keys should be placed in the basket at the Information Desk if users wish to exit the Library. Under no circumstances should keys be removed from the holders. Empty rooms may be checked out to another group if demand warrants.

 

 

There are three media rooms (2101D, 2101E, 2101F), which contain equipment for use with the Library's audiovisual materials. The rooms must be checked out from the Information Desk.

Media rooms may be reserved or used on a first-come, first served basis for the following purposes and in the following priority:

  1. Small group or individual use for resources which run only on equipment in those rooms and for which a reservation has not been made
  2. Group study use
  3. Individual study use

Reservations should generally not be needed for a media room. However, if prior arrangements are deemed necessary, call the Information Services Desk at 626-1218.


High demand periods

When demand is high, Group Study Rooms are checked out to groups only. A sign is posted at the Information Desk to indicate when rooms are limited to groups. Two or more members of the group must physically be at the Information Desk to check out a room and must remain in the room.

When all rooms are checked out, the Information Desk staff will take the following measures in the order specified, to free up rooms for use by eligible groups. Freed up study rooms will be checked out to new users.

  1. Identify vacant study rooms exceeding the check-out period of 6 hours. Clear the rooms of all belongings and stow them safely at the Information Services Desk for later retrieval.
  2. Ask individuals to relinquish their rooms.
  3. Identify vacant study rooms that have not exceeded the 6-hour limit. Attempt to determine if the room has been vacant for over 1/2 hour. Clear rooms of all belongings and stow them safely at the Information Desk for later retrieval.
  4. Ask groups that are in possession of study rooms in excess of 6 hours to relinquish their rooms.

Note: If there is only one person working at the Information Desk, the users who are requesting a study room will be asked to help identify vacant rooms.

 

 

During heavy demand, priority will remain as above with the exception that there is no individual study use.


Responsibilities of Users

Do not change the thermostats. Please report any abnormal temperatures to the Information Desk.

Do not move lounge chairs into the study rooms.

Observe the AHSL Snack & Beverage Policy. Clean up all messes and discard trash before exiting.

Be careful to keep voices low. The study & media rooms are not soundproof and discussions, even in normal voices, may disturb other users.

Turn off the lights and close the door when leaving. Return the Group Study Room keys along with any markers or erasers to the Information Desk.

These policies and procedures have been developed with input from the various constituencies and have evolved through experience. Your cooperation with these policies and your consideration of your fellow users will be greatly appreciated, especially during busy times.
