Faculty Guidelines

 

Arizona Health Sciences Library can help you integrate library resources such as journal articles or book chapters into your courses and make them available to your students whether you're using courseware such as D2L and AZMed, or require ERes, the library's web-based delivery platform. 

Why do I need an ERes Coursepage?

There are two reasons that you would need an ERes Coursepage:

  1. You do not use courseware such as D2L or AZMed and want to make readings and other materials available to your class electronically.
  2. You use courseware and have copyrighted material that is not owned by the library. You would like the library to track its usage for compliance with copyright.

How do I request an ERes Coursepage?

Send your request for an ERes Coursepage to Reserves with the following information:

  1. Instructor name(s)
  2. Contact information (phone # & email address)
  3. Course name & number
  4. Date class starts & ends
  5. Attach bibliographic citations for class readings with direct links if you have found them (use the guidelines to create direct links).
  6. Indicate how you would like to have the readings arranged in folders (example: week1, week2, etc)

When your ERes Coursepage has been created, you will be notified by email and given a password to share with your students.


How do I submit readings and other material for inclusion in my ERes Coursepage?

  1. Search the digital resources available through the AHSL and UA Libraries to find journal articles or book chapters for your course.
  2. Use these guidelines to create direct or persistent links and place them into your courseware.
  3. Obtain digital copies of journal articles the library owns only in print or doesn't own at all by requesting them through DocOrder. They will be delivered in PDF.
  4. Items not owned by AHSL/UA can be used for one semester without permission from the copyright holder. When you receive the items through DocOrder, send them to Reserves as an attachment.

Need help?

Send your bibliographic citations to Reserves or contact the Information Desk. We will find the direct links and put them into your coursepage.

How can I put library resources into my D2L or AZMed course?

We encourage faculty to use direct linking into the digital content of the AHSL and UA Libraries.

  1. Search the digital resources to find journal articles or book chapters for your course.
  2. Use these guidelines to create direct or persistent links and place them into your courseware.
  3. Obtain digital copies of journal articles the library owns only in print or doesn't own at all by requesting them through DocOrder. They will be delivered in PDF.
  4. Items not owned by AHSL/UA can be used for one semester without permission from the copyright holder. If you wish to have the library track the copyright on the items you obtain through DocOrder, send them to Reserves as an attachment once you receive them through DocOrder. They will be placed in ERes and a link will be sent to you for inclusion in your courseware.

If you need help finding a journal article or constructing a direct link, send a list of your bibliographic citations to Reserves or contact the Information Desk. We will provide you with the direct links that you can put into your courseware.


Why is it important to use direct links?

Direct links, also known as persistent URLs, provide stable linking to UA-owned electronic resources. Using direct links instead of storing PDF copies in ERes:

  1. Puts the University firmly in compliance with the library's license agreements.
  2. Reduces the redundancies inherent in storing PDF documents in ERes while pointing to them from courseware or other platforms.
  3. Requires only materials that need to be tracked in copyright to be placed in ERes.
  4. Empowers faculty to easily manage their course readings themselves.


How do students access the ERes Course Reserves?

Students may use any computer that is connected to the Internet to access ERes Course Reserve.Course Pages may be found by the Course Name, Course Number or the Instructor's Name.  Students will be prompted to input the password that their instructor has given them in class if the Course Page contains any copyrighted material. 

Students may also access ERes from off-campus. Some course pages link directly to resources in the AHSL digital library. These resources require students to go through the AHSL proxy server, which requires them to login with a current CatCard (NetID and password effective Oct. 6, 2008)  

To view most documents, students must have Adobe Acrobat Reader 5.0 (or later) on their computer's hard drive. Other viewers are required if your course materials are in other formats besides PDF, such as PowerPoint. If they don't already have them, they may go to these sites from which they can download free viewers and plug-ins. 

Speed of downloading will be affected by the Internet connection.  Printing may be slower on ink jet printers.


Are there copyright restrictions?

The AHS Library observes the Fair Use Guidelines for the Educational Use of Copyrighted materials.  The Library will place copyrighted material on ERes Electronic Reserves for one semester for courses offered through the Arizona Health Sciences Center.  To use the same material in subsequent semesters, written permission from the copyright holder must be obtained if the material does not fall within the Fair Use Guidelines.  AHSL generally recommends that copyright permission be sought when:

  • The material is NOT owned by AHSL or licensed by UA/AHSL and is being used by the same instructor for the same course for more than one semester.
  • The amount of material used from a book or single journal issue exceeds what is deemed to be within Fair Use.

It is the instructor's responsibility to obtain permission. See below for information on assistance available from Information Services.

All copyrighted material is password-protected to ensure that it is restricted to class members only.  

Materials placed on electronic reserves should not be used to create, or to
replace or substitute for anthologies, compilations or collective works.


What additional assistance is available?

Course Bibliography Update Service

An Information Services Librarian will work with faculty to update course bibliographies, identify current resources, and locate electronic resources where available.

Document Delivery Service

If items in your course readings are not available online, request them through DocOrder, AHSL's document delivery and Interlibray Loan System. You will receive journal articles and book chapters in PDF.

Obtaining Copyright Permission

The AHSL Information Services staff can assist you in obtaining permission from a copyright holder in one of two ways:

  • Provide you with sample letters that can be used to obtain written permission for educational uses.
  • Register your use with the Copyright Clearance Center and charge your UA Account # for the fees assessed for permission to use the material for electronic reserves.

In some cases the Library will also purchase material that is in print and available at a reasonable cost, if it is appropriate for our collection.
